A deposit of 20% of the tour price is required within 7 days from confirmation of a booking if not specified or agreed differently. Booking is not confirmed until a confirmation has been sent to the customer in writing by email from PTI. Accommodation, transportation, activities, or other services will not be booked on behalf of the client until payment of the deposit has reached PTI. Correct information containing the number and names of participants, the age of children, flight information, payment methods, and details of the desired services should follow any booking. PTI advice at this time all passengers take out a comprehensive travel insurance. The policy should cover loss of deposit, cancellation and additional expenses, medical expense and repatriation and loss or damage of baggage and valuables. Participants are responsible for themselves and their belongings.
Full payment (less deposit) shall reach PTI at least 8 weeks prior to arrival of guests if not agreed differently. Bookings made within 31 days of arrival are subject to full payment at the time of booking. In case of a further delay on payments, PTI will reserve the right to treat this as a cancellation and withdraw its confirmation of the services. PTI accepts banks transfers.
PTI reserves the right to increase prices already quoted or published on the website www.phototoursiniceland.com without notice in the event of currency fluctuation, government taxes, or due to any other cost increase that are beyond PTI‘s control.
After an invoice has been issued the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes. PTI will absorb an amount equivalent to 5% of the package price due to government laws or currency changes after the invoice has been issued until it has been balanced. Amounts that exceed the 5% will be charged to the clients, who will be entitled to cancel their booking with a full refund if they wish.
After an invoice has been paid in full the price is guaranteed and will not be affected by any changes.
Admission to parks, parking, road tunnel fees and other unforeseen fees are not included in prices unless specifically mentioned as included.
All cancellations must be made by e-mail or letter. In conformity with business practices within the Icelandic travel industry, PTI is obliged to charge cancellation fees to passenger(s) as follows (in addition to deposit):
If you cancel and the tour is otherwise filled with the minimum number of passengers (2), we will refund you the full amount you have paid minus a $150 service charge. If you cancel and the tour is not filled with the minimum number of passengers (2) then you will be refunded according to the following schedule based on the full price for the tour:
Greater than 60 days from the start date of the tour: full refund minus $150 fee.
60-45 days before the start of the tour: 75% refund
44-30 days before the start of the tour: 50% refund
Less than 30 days before the start of the tour: no refund
Refunds will be paid by the same method that the original payment was made.
Refunds will be initiated within 72 hours of the time that the request is approved.
Other and stricter terms for cancellations may apply in particular cases and with third-party service providers, such as domestic flights and flights to and from Greenland. In such situations, the terms and conditions of the service provider apply. Relevant information about the different terms will be available in writing at the time of booking.
Changes in dates and/or destinations are considered as cancellations, in which instance PTI will reserve the right to payments, according to the cancellation terms as stated above.
The customer loses the rights to reimbursement for being too late or for failing to present necessary and valid travel documents. Necessary travel documents may include, passport, travel visa, driver’s license, immunization certificates, vouchers and/or other documents.
PTI reserves the right to change or cancel tours and services and cannot be held responsible for unforeseeable circumstances over which the travel agency has no control and the consequences of which it could not have prevented. PTI will notify its client as soon as possible.
Icelandic tour, transportation, and activity providers are subject to an 11% value-added tax (VAT). Two levels of VAT exist in Iceland: 11% and 24%. The reduced rate of 11% VAT applies to tour operators, hotels, restaurants, coaches, activities, day tours, and overnight tours. The higher level of VAT (24%) applies to car rentals. Accommodation carries an additional accommodation tax per night.
PTI disclaims all responsibility for any loss, damage, accident and sickness. As well as schedule change caused by weather, strike or any other irregularity. PTI advice all clients to have insurance, as clients are on their own responsibility. Each participant is responsible for conditions of his own health and must not prevent, disrupt or inconvenience a trip because of health conditions. It is not possible to demand a refund if a trip is cut short due to health conditions or other reasons that PTI is not responsible for. Participants are required to follow the instructions of the guide. The guide can expel a participant from the tour without refund if he considers the participant’s behavior a threat to the safety of others or his own.
The tour is always dependent on weather, as the Icelandic weather can indeed be highly unpredictable. Likewise, visits to ice caves and other locations are dependent on favourable conditions, and indeed the ice caves themselves are not permanent. When it comes to the Northern Lights, while they are most likely to be seen between September and April, there is no guarantee that they will appear on a given day. There is however always plenty to see and do if conditions do not favour any part of our original plan.
Applicable Law is Icelandic law only.
